UBenefits process continues to go paperless

When new University employees apply for benefits, they’re still responsible for filling out and delivering a small number of paper forms – a practice that University Support Services (USS) and the U's Division of Human Resources have been working to phase out.

For the past two years, USS and HR have gradually made benefits enrollment a mostly paperless process. Part of the University’s commitment to reduce campus waste is encouraging departments to implement electronic workflows and documentation management.

New staff and faculty can currently apply for tuition reduction and make adjustments to University-funded retirement plans online (enrollment is automatic upon eligibility). Employees wishing to enroll, cancel or make changes to their Health Plan elections or enroll in a Flexible Spending Account may do so on the UBenefits website during periods of open enrollment. Access to UBenefits requires uNID and CIS password authentication.

“It’s been a long project, and we’re seeing the light at the end of the tunnel,” said U Chief Human Resources Officer Jeff Herring. “We’ve had a great team working on the project, and we’ve enjoyed working with our partners in UIT.”

In addition, by the end of September, new employees will be able to electronically file all forms found in the new hire benefits packet, feeding to HR via a PeopleSoft application.

“This will be an advantage for the new employee,” said Gary Carter, associate director of Enterprise Resource Planning (ERP) in USS. “It makes the process easier for him or her to manage the process electronically without the need for paper," adding that online forms also automate the process, eliminating the need for HR to manually re-enter information.

Herring added, “We want to make things as easy and nice as we can for new employees. We look forward to providing the best experience possible as they have their first impressions of the U.”
