IT Governance roundup for September

Strategic Information Technology Committee (SITC)

September 19 • Agenda

  • SITC approved a change to the IT governance voting structure. The decision was made to eliminate the voting blocs for the next six months and to allow all SITC and ANTC governance representatives present at their particular meeting to vote. There must be a quorum present (15 members in SITC, and 14 members in ANTC) for a vote to be held. Votes will be tracked over this time to gauge whether there is accurate representation from across the university. After six months, SITC will evaluate the results.
  • CISO Randy Arvay gave an update on the Identity and Access Management program and the ongoing user access review project. He also gave an update on Duo enrollment, with 98.65% of U employees enrolled. There are three no-cost methods of using Duo, and two additional forms that cost the University money. Arvay explained the challenges with keeping these two cost options, and the committee discussed the best way to eliminate these options over time. Eventually, it was agreed that ISO will focus on educating the U community about the no-cost options over the next six months, then come back to SITC to present on the progress and strategy.
  • Marv Hawkins, associate director for University Support Services (USS) Product Management/Finance, gave an update on the CIS portal redesign and feedback gathering. He noted two issues his team is currently addressing (timeout notifications, as well as an issue with an old version of Safari on iPad)). He also noted common feedback themes and how his team is planning to address those.
  • CIO Steve Hess reviewed what UIT has been doing in regards to IT strategic planning, and showed UIT's strategic plan, including current projects across campus requiring UIT integration. Hess said several web and data policies are being reviewed and will be brought to SITC for consideration when they're ready. Hess then walked the group through a SWOT analysis and gathered feedback from the committee on this.

Enterprise Web Advisory Council (EWAC)

September 22 • Agenda

  • Barb Iannucci, associate director for USS Content Management & Usability, gave an update on the replacement search for the Google Search Appliance, which Google is retiring soon. The task force met on 9/15 and have since been identifying stakeholders to involve in the search. They're also planning on researching peer institutions, giving a UIT Talk on the subject to gather feedback, and creating a survey to collect feedback from the community.
  • Pat Hanna, Professor of Linguistics, gave a brief update on the revision to Policy 4-003. Hanna explained that they plan to start a small working group to identify issues with the current policy and propose new drafts, reporting back to EWAC every month on the progress.
  • Amy Wildermuth, Professor, Quinney College of Law & associate vice president for faculty, showed a prototype of the new FAR profile page, and said they're currently in the process of getting all faculty members to take new photos for their profile pages. The group discussed the need for all faculty to begin using FAR as their primary/central data source, making it easier for students and staff to find who they're looking for. The group discussed strategies to keep this maintained long-term as faculty leave and new faculty arrive.

Architecture and New Technology Committee (ANTC)

  • There was no ANTC meeting in September. The next ANTC meeting will be October 23, 2017, 10:00 a.m. - 12:00 p.m., Dumke Conference Room, Eccles Broadcast Center.
