Guide: Paid winter break days
University of Utah leadership has designated December 28-30, 2020 as a winter break for campus employees, who will receive up to 24 hours of administrative leave with pay (ALP) and are encouraged
to use the additional time off to focus on their well-being.
The winter break days will supplement the University Closure Days on December 24 and
December 31, and the University Holidays on December 25 and January 1.
Please use the guide below to prepare for the winter break.
Full-time employees (40 hours per week) will receive 24 hours of ALP. They do not need to enter these hours on their Kronos
timecards.
Student and part-time employees (less than 40 hours per week) should only be scheduled by their supervisors for December 28-30 if their work is
essential on those days. If not scheduled, these employees will receive ALP for the
hours they normally would have worked those days. Students and part-time staff do
not need to enter these hours on their timecards.

Supervisors should work with their directors to determine which employees are essential for December
28-30. Supervisors also are responsible for entering ALP hours in employees’ timecards,
using code ALP.
Staff who are required by their supervisors to work those days may arrange alternate
ALP hours with their supervisors, under the following conditions:
- Hours must be used by May 31, 2021, or they will be lost;
- Employees are expected to schedule the use of the ALP hours by arrangement in advance with their cognizant department head or supervisor so that the efficiency of the organizational unit is not compromised; and
- Hours will not pay out if the employee terminates employment prior to using them.
Please note: Employees who planned to use vacation time during December 28-30 should not enter those hours on their timecards. Your supervisor will enter ALP hours for those
days instead.
Please note: All employees who are eligible for University Holiday and University Closure Day pay
should continue to enter those hours on their timecards.
- Holidays (code HOL): December 25, 2020, and January 1, 2021
- University Closure Days (code UCD): December 24 and 31, 2020
