Teaching and Learning Portfolio

January 29 • Agenda

• Paul Burrows, Teaching & Learning Technologies information architect, gave a brief update on the Learning Spaces/student computing fees process for 2018.
• Jon Thomas, director for Teaching & Learning Technologies, reviewed the statistics collected by 18 labs across campus from November 1 to December 15, 2017. After a brief discussion, the portfolio voted to approve submitting a request to ANTC to create a working group whose mission will be to create a student computer lab usage data dictionary.
• Cory Stokes, UOnline director and associate dean for Undergraduate Studies, gave an update on the Software Anywhere topic.
• Thomas gave an update on the YellowDig tool, and the larger topic of Canvas add-on tools. After a brief discussion, the portfolio agreed that TLT should train its support staff on adding Canvas add-on tools when faculty request them and ensure they're following the procedure of informing faculty about FERPA and risk involved with these tools. The portfolio also agreed that the broader discussion board tool question should be taken to the Senate Advisory Committee on IT (SACIT).
• Thomas presented the need to implement classroom standards across campus and the difficulty thus far in getting those standards approved. The portfolio agreed that this should be taken back to SACIT for further discussion.
• Fernando Rubio, associate professor for Language and Literature, gave a brief overview of a study in which he collected Canvas data for a single course to show evidence of online behaviors. The group discussed this and the broader issue of collecting Canvas data, who has access to that data, and the need for a data steward. Key members of the portfolio will further this discussion with CIO Steve Hess and Senior Vice President for Academic Affairs Ruth Watkins.

Enterprise Web Advisory Council (EWAC)

January 26 • Agenda • Summary

• Barb Iannucci, associate director for USS Content Management & Usability, gave an update on replacing the Google Search Appliance with Google Custom Search Engine.
• Paula Millington, director for UIT Strategic Planning & Process, explained that the working group is hoping to have the revised policy ready for review by March.
• Cory Stokes, UOnline director and associate dean for Undergraduate Studies, facilitated an opportunity canvas brainstorming activity with the group, focusing on the topic of web presence and content management at the U.
• Nathan Tanner, director of marketing & sales for U Health’s Interactive Marketing & Web, gave a brief update on his organization’s RFP for the Google Search Appliance replacement.

February 23 • Agenda

• Paula Millington, director for UIT Strategic Planning & Process, gave an update on the Policy 4-003 revision and the committee discussed and provided feedback on the current draft.
• Barb Iannucci, associate director for USS Content Management & Usability, gave a quick demo on the new Google Custom Search Engine tool.
• Cory Stokes, UOnline director and associate dean for Undergraduate Studies, discussed the ideas he consolidated from the last EWAC meeting in which he facilitated an opportunity canvas brainstorming activity. The group then discussed next steps.
• Lori Oakley, director of communications for University Marketing & Communications, facilitated a lengthy discussion with the group regarding the University's web presence and overall strategy.

Architecture and New Technology Committee (ANTC)

February 26 • Agenda

• Jon Thomas, director for Teaching & Learning Technologies, reviewed the statistics collected by 18 labs across campus from November 1 to December 15, 2017 and facilitated a discussion regarding creating a separate working group to define a data dictionary for future statistics that are collected.
• Mike Ekstrom, director for UIT Network & Communications Infrastructure, presented on the status of migrating some email accounts to Office365.
• Jim Livingston, Chief Technology Officer, introduced the U's new hybrid cloud service, UCloud.
• Trevor Long, associate director for UIT Network & Core, came forward with a recommendation from the Network Architecture Community of Practice regarding moving the general UConnect service over to private IP space (to address the issue of running out of public IP addresses on campus). After a lengthy discussion, the committee voted to approve this.
• Randy Arvay, Chief Information Security Officer, briefly spoke about the problem of users electing to use the telephone option for two-factor authentication. This method incurs extra costs for the university. This issue will be taken to SITC next month.

Strategic Information Technology Committee (SITC)

• There was no February SITC meeting. The next SITC meeting will be held on Tuesday, March 20, 1:00 - 2:45 p.m., in the Winder Boardroom, Park Building.
